Marketplace Seller Handoff Guide for Third-Party Pickup
When a buyer sends someone else to collect a Marketplace purchase, the seller should know who is coming, which item is being released, the expected pickup window and any loading or access instructions. Clear handoff information reduces confusion when the buyer is not physically present.
What the Buyer Should Tell the Seller
The buyer sets up the handoff. Before the pickup provider is dispatched, the seller should know the buyer is not coming personally, which item is being collected, roughly when the pickup provider will arrive and what name to expect at the door.

What the Seller Should Confirm

- • Whether the seller will help load

How to Identify the Correct Item
Identification prevents the wrong piece leaving the property. A listing photo, a written description or a note taped to the item all work. When a seller has several similar pieces listed, the buyer should confirm which one in writing.
Pickup Window
Agree a time range rather than an exact minute. Traffic, loading time and stairs at a previous stop all shift arrival. A window absorbs that without a missed handoff.
Third-Party Release
The seller decides whether to release the item to someone other than the buyer. A short written message from the buyer authorizing the release is usually all a cautious seller needs.
Payment Status
The purchase price should be resolved between the buyer and the seller separately from the pickup and delivery service, unless a different arrangement has explicitly been agreed. A pickup provider should not be expected to negotiate or collect the purchase price at the door.
Loading Expectations
Seller loading help should never be assumed. If the seller cannot help, saying so in advance lets the buyer arrange the right crew rather than discovering the problem at the curb.
Stairs, Elevator and Access
The floor the item sits on, the number of stair flights, the narrowest doorway and whether an elevator is available should all be shared before the pickup. A building elevator does not necessarily eliminate the need to check hallway and door dimensions.
Parking and Gate Codes
Gate codes, callbox numbers, front-desk check-in rules and where a vehicle may park should be sent privately to the buyer or pickup provider, not posted in a public listing thread.
Loose or Detachable Parts
Shelves, hardware, remotes, keys, glass tops and detachable mirrors should be gathered and kept with the item. Loose parts left in a drawer or on a shelf are the most commonly forgotten piece of a handoff.
What NOT to Share Publicly
Access codes, exact unit numbers, pickup timing when nobody will be home, and any payment or identity information should stay out of public comments. Sellers should also avoid confirming publicly that a valuable item is sitting unattended in a garage or on a porch.
What Happens If Pickup Timing Changes
Timing shifts happen. Agree in advance how the seller will be notified, how long the seller is willing to hold the item, and whether the item can be left in an agreed accessible spot if the seller has to leave.
