How to Coordinate a Facebook Marketplace Pickup

A smooth Marketplace pickup requires four things to be clear before anyone drives to the seller: the exact item, the pickup location, the agreed pickup window and who is authorized to collect it. For larger items, also confirm dimensions, stairs, loading help and access.

Ten Steps From Purchase to Delivery

  1. Step 1
    Confirm the Purchase

Agree with the seller that the item is sold and reserved for you. A listing that is still active invites competing buyers while pickup is being arranged.

  2. Step 2
    Confirm the Exact Item

Ask the seller to confirm which specific piece is being released, especially when several similar items are listed. Save the listing photo for the pickup provider.

  3. Step 3
    Get the Pickup Address

Get the full street address, unit or apartment number and the ZIP code — not just a neighborhood or cross street.

  4. Step 4
    Agree on a Pickup Window

Agree on a time range rather than an exact minute. A window absorbs traffic and load time without a missed handoff.

  5. Step 5
    Confirm Third-Party Release

Tell the seller that a pickup provider is collecting on your behalf and confirm the seller agrees to release the item to that provider.

  6. Step 6
    Check Size and Access

Get approximate dimensions, the floor the item is on, stairs, hallway widths and whether the item can leave through the nearest door.

  7. Step 7
    Confirm Loading Expectations

Never assume the seller will help load. Ask directly, so crew size can be planned before dispatch.

  8. Step 8
    Share the Pickup Details

Send the pickup provider the item, address, window, access notes and delivery destination in one message rather than in fragments.

  9. Step 9
Keep Buyer/Seller Payment Separate From Delivery

Resolve the purchase payment with the seller separately from the pickup and delivery charge, unless a different arrangement has explicitly been agreed.

  10. Step 10
    Prepare for Changes or Delays

Agree how the seller can be reached if timing shifts, and what happens if nobody is home when the pickup provider arrives.

What Information Should Be Put in a Pickup Message?

One clear message to the seller prevents most back-and-forth. Use a structure like the one below and fill in the real details of your own purchase.

  • Buyer name: the name the seller already recognizes from the conversation
  • Item: the specific piece being collected, matching the listing
  • Pickup provider: the service collecting on the buyer's behalf
  • Pickup window: the agreed time range
  • Item location: room, floor, garage, driveway or curb
  • Seller instructions: gate code, parking, entry, loading help, loose parts

Keep sensitive details out of public listing comments — send access instructions in a direct message instead.

Where Coordination Usually Breaks Down

  • No agreed pickup window

A pickup window should be agreed before dispatch, not negotiated from the driveway.

  • Assumed loading help

Seller help should never be assumed. "Bring help to load" means the item needs more than one person.

  • Approximate becomes wrong

Approximate dimensions are better than none, but tight doorways and elevators need exact measurements.

  • Access discovered on arrival

Gate codes, apartment stairs and blocked driveways change the crew and time needed.

Preparing the seller side is covered in the seller handoff guide, you can create a seller handoff with Pickup Pass, and you can request a pickup quote once the item and access details are confirmed.
